Buildertrend is the most widely used project management platform in US residential construction. QuickBooks Online is the most widely used accounting software for small contractors. The integration between the two saves 5β10 hours per month of manual data entry β but the default setup creates problems that take months to fix. Here is how to do it correctly from the start.
What the Integration Does (and Does Not Do)
The Buildertrend-QBO integration syncs: invoices (progress bills), bills from vendors and subcontractors, and purchase orders. It does NOT sync payroll, owner draws, or financing transactions β those still need to be entered in QBO manually. The integration is one-directional: Buildertrend pushes to QBO. You should not be entering the same transaction in both systems.
Setting Up the Connection
In Buildertrend go to Settings β Integrations β QuickBooks Online. Connect with your QBO credentials. Before syncing anything, configure your mapping β this is the critical step most people skip. Map your Buildertrend cost codes to QBO expense accounts, and your Buildertrend income items to QBO income accounts. Incorrect mapping is the root cause of most integration problems.
Configuring Cost Code Mapping
Every cost code in Buildertrend (Framing, Plumbing, Electrical, etc.) needs to map to a QBO expense account. Best practice: create dedicated expense accounts in QBO for each major cost category β Labour, Materials, Subcontractors, Equipment β and map related Buildertrend cost codes to the right account. Do not map everything to a single 'Job Costs' account or you lose all reporting granularity.
Common Problems and How to Avoid Them
The most common issues: 1) Duplicate entries β caused by entering the same bill in both Buildertrend and QBO before the integration is set up. Audit for duplicates in the first month. 2) Incorrect job mapping β bills landing in the wrong QBO project. Check your customer/job mapping before going live. 3) Unapplied credits β returns or credits from vendors not clearing correctly. Review your AP aging monthly to catch these early.
